Privacy Policy
Archevot is built with your privacy as a priority. Your data belongs to you and we have designed the app to keep it that way. This policy explains clearly what data is collected, how it is used, who it is shared with, how long it is kept, and what your rights are. It applies to the Archevot mobile application distributed via Google Play, the Apple App Store, and any other approved channel, as well as this website.
1. Who We Are
Archevot is an AI-powered productivity and wellbeing application. References to "we", "us" or "Archevot" in this policy refer to the developer and operator of the Archevot application, based in the United Kingdom.
For the purposes of UK GDPR and the Data Protection Act 2018, we act as the data controller for the limited personal data processed through the app.

2. Data We Collect
Data stored locally on your device
By default, Archevot stores all of your personal data locally on your device using your on-device storage. This includes:
- Task breakdowns and task history
- Journal entries
- Chat and reflection conversations
- App settings and preferences
- Overwhelm levels and check-in responses
- Usage and session data
This data never leaves your device unless you choose to use AI features (see below). It is not transmitted to Archevot's servers, and we have no ability to access it remotely.
Data sent to AI providers
When you use the AI task generation or chat features, the text you enter is sent directly from your device to a third-party AI provider (either OpenAI or Anthropic, depending on your settings) over an encrypted HTTPS connection. This is necessary for the AI to generate your task breakdowns and responses.
Because Archevot is intended for productivity, reflection, and wellbeing use, the text you submit may include information about your mood, stress levels, daily routine, or thoughts. You should treat anything you type into the AI features as data that will be processed by the selected provider, and avoid submitting information you would not want a third party to receive.
We do not store or log this data on our own servers. However, it is subject to the data retention policies of the respective AI provider. Please see Section 6 for full details.
Voice transcription (optional)
Archevot includes an optional microphone feature for hands-free input. There are two transcription engines, controlled from Settings › Voice:
- Fast (Android) — default: uses your device's built-in speech recognition. Audio is processed by the operating system; on modern Android devices this runs entirely on-device and no audio leaves your phone. On older Android versions the device's own speech service may route audio to Google's servers under Google's own privacy terms — Archevot never receives this audio.
- Accurate (OpenAI Whisper) — opt-in: if you enable this option, recorded audio from the microphone is uploaded directly from your device to OpenAI's Whisper API over HTTPS, transcribed to text by OpenAI, and the resulting text is returned to your device. The audio is subject to OpenAI's data retention policy (see Section 6). Archevot does not retain or process the audio on its own servers.
You can change the voice engine at any time, and you can choose not to use the microphone feature at all. The microphone is only active when you tap the in-app voice button.
Payment data
Purchases of the one-time Archevot licence are processed entirely by the platform's payment provider (Google Play Billing on Android, the App Store on iOS, or another approved processor). Archevot does not see, collect, or store your card number, billing address, or other payment credentials. The payment provider may share with us a transactional confirmation (such as an order ID) for receipt and licence-validation purposes only.
Data we do not collect
We do not collect, store or transmit:
- Your name, email address or contact information (unless you contact us directly by email)
- Payment details (handled entirely by the payment provider)
- Advertising identifiers or device identifiers used for tracking
- Precise or approximate location data
- Contacts, photos, or files outside what you type or speak into the app
- Crash reports or analytics, unless explicitly enabled by you in Settings
We do not use your data for advertising, profiling, or behavioural tracking, and we do not share data with data brokers.
3. How We Use Your Data
Data stored locally on your device is used solely to provide you with the app's features, including displaying your task history, enabling chat replay, and personalising your experience based on your settings.
Data sent to AI providers is used only to generate AI responses and task breakdowns. It is not used by us for any other purpose.
We do not sell, rent, share for cross-context behavioural advertising, or otherwise monetise your personal data in any way.
4. Legal Basis for Processing (UK / EU Users)
If you are located in the United Kingdom or the European Economic Area, we rely on the following legal bases under UK GDPR / EU GDPR for the limited processing of your personal data:
- Performance of a contract — to deliver the app's functionality to you in line with our Terms & Conditions, including processing your AI inputs to return task breakdowns.
- Consent — for any optional features (such as enabling crash reporting or analytics in Settings). You may withdraw consent at any time by disabling the feature.
- Legitimate interests — to maintain the security and integrity of the app, prevent abuse, and respond to support enquiries you send us.
- Legal obligation — where we are required to retain or disclose information to comply with applicable law.
5. Your API Keys
If you choose to use your own OpenAI or Anthropic API key, that key is stored locally on your device only. It is used solely to authenticate requests to the AI provider on your behalf. We never transmit your API key to our own servers.
You are responsible for keeping your API key secure. If you believe your key has been compromised, revoke it immediately via your AI provider's dashboard.
6. Third-Party AI Provider Data Retention
When you use AI features, your inputs and outputs are processed by third-party providers acting as independent data controllers or processors under their own terms. Their data retention policies are as follows:
Anthropic (Claude)
- API inputs and outputs are automatically deleted after 7 days by default.
- Anthropic does not use API data to train its models under standard commercial API terms.
- Data may be retained for longer if flagged by Anthropic's trust and safety systems.
- Enterprise customers may request a Zero Data Retention agreement directly from Anthropic.
OpenAI
- API inputs and outputs (text and, if Whisper voice transcription is enabled, audio recordings) are retained for 30 days by default before deletion.
- OpenAI does not train models on API data under standard API terms.
- Data may be retained for longer if flagged by OpenAI's safety systems.
- Enterprise customers may request a Zero Data Retention agreement directly from OpenAI.

7. Demo Mode
In Demo Mode, no text you enter is sent to any external AI provider. All responses in Demo Mode are generic and pre-set, generated locally. No personal data is transmitted during Demo Mode usage.
8. Android Permissions
On Android devices, Archevot requests only the minimum permissions needed to operate. Each permission is used strictly for the purpose described:
- Internet access — required to send AI requests to the selected provider and to validate your licence with Google Play Billing.
- Microphone (RECORD_AUDIO) — required only when you tap the in-app voice button. Used solely to capture your speech for transcription into text. The microphone is never active in the background. Audio is processed either on-device (default Android speech recognition) or sent to OpenAI's Whisper API if you have explicitly enabled that engine in Settings › Voice. See Section 2 for full details.
- Notifications (optional) — used only for reminders and check-ins you have explicitly enabled in Settings.
- Foreground service / wake lock (optional, where applicable) — used only while a focus or hyperfocus timer is actively running.
- Storage — limited to the app's own private storage area on your device for saving your local data.
Archevot does not request access to your contacts, location, camera, SMS, call logs, or photo library. You may revoke any optional permission at any time from your device's system settings.
9. Data Security
We take reasonable and appropriate technical and organisational measures to protect your data:
- All data transmitted between the app and AI providers or payment providers is encrypted in transit using TLS / HTTPS.
- Locally stored data is held within the app's private storage area, which is protected by your device's operating system sandbox.
- API keys you provide are stored locally and are never transmitted to Archevot's own servers.
- We do not operate user accounts or central servers that hold your task, journal, or chat content, which substantially reduces the surface area for any data breach.
No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
10. International Data Transfers
The third-party AI providers used by Archevot (OpenAI and Anthropic) are based in the United States and may process your inputs on servers located in the United States or other countries outside the United Kingdom and the European Economic Area.
Where required, transfers are made under appropriate safeguards, including the UK International Data Transfer Agreement, the EU Standard Contractual Clauses, or the providers' participation in recognised cross-border transfer frameworks (such as the EU–US and UK–US Data Privacy Framework, where applicable). For full details, please consult each provider's privacy policy.
By using the AI features, you understand that your inputs will be transferred internationally for processing.
11. Data Retention and Deletion
Since your task, journal, and chat data is stored locally on your device, you are in full control of its retention. You can delete your data at any time from within the app via the Settings menu using the "Clear Data" option.
Archevot automatically clears task data after 48 hours and full session data after 90 days to help manage local storage.
Uninstalling the app or clearing the app's storage from your device's system settings will permanently delete all locally stored data.
If you have contacted us by email, we retain that correspondence only for as long as needed to respond to your query and to keep a reasonable record for support and legal purposes (typically no longer than 24 months), after which it is deleted.
If you wish to request the deletion of any data we may hold about you (for example, support emails), please email support@archevot.com with the subject line "Data Deletion Request".
12. Your Rights
Depending on where you live, you may have some or all of the following rights in relation to your personal data:
- Right to access — request a copy of the personal data we hold about you.
- Right to rectification — ask us to correct inaccurate or incomplete data.
- Right to erasure ("right to be forgotten") — ask us to delete personal data we hold about you.
- Right to restrict or object to certain processing of your data.
- Right to data portability — receive your data in a structured, commonly used, machine-readable format.
- Right to withdraw consent at any time, where processing is based on consent.
To exercise any of these rights, email support@archevot.com. We will respond within 30 days. We will not charge a fee or discriminate against you for exercising these rights.
Because most of your data is stored only on your device, the fastest way to exercise your right to erasure is to use the in-app "Clear Data" option or uninstall the app.
13. Children's Privacy
Archevot is not directed at, and is not intended for, children under the age of 16. We do not knowingly collect personal data from children under 16. The app is not designed to comply with the United States Children's Online Privacy Protection Act (COPPA), and we do not target users in any age group covered by COPPA's child-directed criteria.
If you are a parent or guardian and believe a child under 16 has used the app or that their data has been transmitted through the app, please contact us at support@archevot.com and we will take appropriate action, including deletion of any related correspondence.
14. Google Play Data Safety
Archevot's entry in the Google Play Data Safety section is intended to be consistent with this policy. In summary, the data types that may be transmitted off your device are:
- App activity — in-app interactions: the text you enter into AI features, sent only to the selected AI provider, used solely to generate a response, and not shared with us.
- Audio — voice or sound recordings (optional): only when you tap the in-app voice button and have explicitly enabled the "Accurate (OpenAI Whisper)" engine in Settings › Voice. Audio is sent encrypted to OpenAI's Whisper API for transcription, returned as text, and not shared with Archevot. With the default voice engine, audio remains on your device.
- App info and performance: only if you opt in to optional crash reporting or analytics.
All other data (tasks, journal entries, chats, settings) is stored only on your device and is not collected by Archevot. Data transmitted off the device is encrypted in transit. You can request deletion of any related correspondence by emailing us as set out in Section 11.
15. Complaints
If you have a concern about how we handle your personal data, we encourage you to contact us first at support@archevot.com so we can try to resolve it.
If you are based in the United Kingdom and are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk. If you are based in the European Economic Area, you may lodge a complaint with your local data protection supervisory authority.
16. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in the app, the third-party providers we work with, or applicable law. Any material changes will be communicated through the app or on this page, and the "Last updated" date at the top of this page will be revised accordingly. Continued use of the app after changes are published constitutes acceptance of the updated policy.
